Audiovisual Guidelines for Preparing and Delivering a Presentation

We have 3 type of abstracts presentations into each sessions:

Oral abstract at 7 minutes presentations and 3 minutes of Q&A
Mini-Oral abstract at 5 minutes presentation and 2 minutes of Q&A
Rapid-Fire presentation at 3 minutes presentation and 2 minutes of Q&A (max. of 4 slides should be prepared)

The upload desk operation hours:

April 30 13:00 - 17:00
May 1 07:00 - 13:30
May 2 07:00 - 16:00
May 3 07:00 - 10:30

1. Key Points for All Presenters

  • Please note that we will have a speaker upload area near registration (in front of the main ballroom). All presentation files will be uploaded directly onto the meeting room computer (PC).
  • We would ask that you upload your presentation(s) at least 2 hour prior to the start of your session or if your session is early in the morning, during the opening hours of the speaker upload area. It is important to upload your presentation as soon as possible in the event we need to trouble-shoot any potential issues.
  • The upload desk will be open:
    – April 30 from 13:00 to 17:00
    – May 1 from 07:00 to 13:30
    – May 2 from 07:00 to 16:00
    – May 3 from 7:00 to 10:30
  • As the schedule is very compact, we want to make sure presentations for each session are pre-loaded and tested.
  • All presentations should be prepared for PowerPoint 2016+ on Windows-based PCs in 16:9 format – widescreen format.
  • We are not offering CME credits, but we still wish for each speaker to disclose any potential conflict of interest.
  • Use of individual laptop computers is not permitted.
  • PowerPoint for MAC files should be tested on a PC before attending the event.
  • Keynote for MAC or presentations on Prezzie or Canva will not be accepted. They must be exported to PowerPoint.
  • VIDEOS: Your videos must be embedded in the presentation (only possible on PowerPoint 2016 or newer).
  • We are on a tight schedule. Please make sure to adhere to your allotted speaking time!

2. Before You Depart

Please bring a copy of your presentation along with you when you depart for your meeting.

If you inserted videos into your PPT and they became embedded, no further action is required. If the videos are playing as external files, save them in the same folder as your PowerPoint.

3. Preparing Your Presentation

Fonts: We only support fonts that are included with Windows 7/10. If you need a specialized font, it should be embedded into your PowerPoint presentation. For instructions on this process, please click on the following link: http://support.microsoft.com/kb/826832/en-us
